Free Tool: Split a Pax8 Invoice by Customer
Overview
A Pax8 invoice lists many of the subscriptions under your own account, rather than your customer that it belongs to. Azure and security subscriptions are often billed under your own Pax8 company, with the customer’s name tucked into the description or details, like “Customer Name Azure – subscription ID – *”. Janette at WiseBooks was kind enough to share her methodology for extracting the raw CSV from Pax8 into usable information using a combination of Excel formulas and manually-maintained company mappings.
We built on the WiseBooks design and put up a free page that does the matching for you. Drop in your Pax8 invoice file, and it groups the lines by customer, shows price, cost and margin for each, and lets you download the result. It works on a Pax8 CSV or Excel file and does all the work in your browser, with nothing uploading to our server.
Try it at app.nexnow.dev/demo/pax8. There is nothing to install and nothing to buy. You confirm your email first, then the tool opens.
What You Get
- Lines grouped by customer. A summary of customers with their lines, price, cost and margin. Click a customer to see its lines.
- Customer names found in the description and details. The page looks for each customer’s name in the company, description and details columns, so lines billed under your own company still land with the right customer.
- Lines with no customer named. Lines billed under your own company where no customer name is found are listed separately, and you can assign them to a customer yourself.
- Similar names treated as one customer. When one name starts with another, such as “Acme” and “Acme Corporation”, the page treats them as the same customer and lists them for you to check. Click “Not the same” to separate them, or merge customers yourself.
- Download to Excel or CSV. Get one customer at a time, or a workbook with a summary by customer and every line with its customer, ready to filter or pivot.
- Corrections you can reuse. Download your merges and assignments as a settings file and load it next month so you don’t have to repeat the work.
How to Use It
- Confirm your email. Enter your name, company and work email. We send a six digit code. It keeps bots out, and allows us to follow up with you about NexNow (you can unsubscribe at any time).
- Drop in your Pax8 invoice. Use the CSV or Excel file from Pax8.
- Review the customers. Check the names that were treated as the same customer, then merge or assign anything that landed wrong.
- Download the result. Save the settings file too if you want to reuse your corrections next month.
About Your Invoice File
The file is read in your browser and is not uploaded to our servers. Your name, company and email are kept so we can send your code and follow up about NexNow, including occasional updates. The settings file you download stays on your computer.
If you have questions about Pax8 billing or anything else in your invoicing, the ConnectWise subreddit and the ConnectWise University Forums are good places to compare notes.
